Orchestrating a seamless training material refresh
In the dynamic landscape of pharmaceuticals, ensuring employees have up-to-date training materials for key commercial systems is critical for operational excellence. A renowned pharmaceutical company faced the challenge of keeping its training aids and new user materials current amidst evolving system changes. As the business lead for this project, I led the collaboration between this leading pharmaceutical company and technology vendor’s business consulting team.
Background: This pharma relied on a commercial approval system for storing work aids and utilized internal learning management platforms for new user training materials. However, the continuous system changes necessitated frequent updates to these materials. The one-year contract aimed at delivering three updates for work aids and two updates for new user training materials. The project required establishing a robust maintenance process and collaborating with stakeholders across regions. The project commenced with the establishment of a comprehensive training material maintenance process. Key activities include:
Standing up a training refresh process/ways of working as well as the facilitation of a review and sign-off process with the UK-based Astellas core team, along with stakeholders from Japan, USA, and other regions.
Work aid/new user material refresh: Review of software vendor releases and system changes to assess impacts on work aids. Regular updates and translation of work aids every four months and new user training slides every six months. Upload of updated training materials into respective platforms.
Through meticulous planning and execution, project outcomes include:

Global alignment: Consistent language versions across regions fostered global alignment and standardization of training materials.

The collaboration between the pharma company and vendor business consulting team exemplifies effective project management in navigating complex initiatives. As the project lead, I ensured clear communication, stakeholder engagement, and adherence to timelines.
